Office ManagerGaylord, MI Office ManagerDepartment: AdministrationReports To: General Manager Overview The Office Manager is responsible for overseeing daily administrative and office operations to ensure efficiency, accuracy, and a positive employee and customer experience. This role supports dealership leadership by managing office processes, coordinating cross-department activities, and maintaining compliance with company policies and procedures. Benefits * Health Insurance * 401(k) Retirement Plan * Paid Time Off (PTO) * Competitive Wages * Flexible Scheduling Key Responsibilities * Prepare for daily operations by reviewing priorities, coordinating schedules, organizing documentation, and ensuring office resources are available and functioning properly. * Manage administrative workflows accurately and efficiently by maintaining records, processing paperwork, supporting payroll and invoicing tasks, and ensuring deadlines are met. * Document and maintain records thoroughly by organizing files, updating systems, ensuring data accuracy, and supporting audits or internal reviews as needed. * Apply administrative and operational expertise to support dealership functions including HR coordination, accounting support, customer documentation, and internal communications. * Maintain up-to-date knowledge of company policies, procedures, and dealership operations to ensure consistent and compliant office practices. * Promote compliance and accuracy by ensuring office processes align with legal, financial, and organizational requirements. * Support and mentor administrative staff by providing guidance, training, and support to encourage efficiency, accountability, and professional growth. * Communicate effectively with leadership, department managers, vendors, and customers to ensure clarity, collaboration, and timely resolution of issues. * Deliver excellent internal and external customer service by maintaining professionalism, responsiveness, and attention to detail. * Take ownership of operational challenges by identifying inefficiencies, implementing process improvements, and supporting continuous improvement initiatives. General Knowledge and Skills You Will Need * Maintain working knowledge of dealership operations, administrative processes, and company policies to support daily office functions. * Apply strong organizational, time-management, and problem-solving skills to manage multiple priorities in a fast-paced environment. * Communicate clearly and professionally with team members, leadership, and customers to foster trust and collaboration. * Motivate and support office staff by encouraging accountability, teamwork, and a positive workplace culture. * Plan and organize tasks effectively by setting priorities, coordinating resources, and meeting deadlines that support dealership objectives. * Identify and resolve routine administrative issues using practical, compliant, and cost-effective solutions. * Uphold a safe, compliant, and professional work environment by following company policies and applicable regulations. * Utilize software systems and digital tools (HRIS, accounting systems, scheduling tools, and document management systems) to streamline workflows and ensure accuracy.
